HSYL Program Assistant

Location: Eureka, CA, remote
Reports to: Registrar
Compensation: $16.00-$18.00 depending on experience
Benefits: 24 hours sick time, stipend of $100/month for use of personal equipment and internet
Work Hours: Appoximately 30 hours per week, Seasonal, with most hours completed during April – September, hours are flexible, some weekends may be necessary 

Job Description:

The Program Assistant will work closely with the Registrar to coordinate player and coaching registration for each HYSL season. A successful person in this role has good interpersonal skills, a respectful attitude for the work of HYSL, and a demonstrated ability to work effectively as part of a team.  This staff member must be highly organized and have the ability to track information through the use of spreadsheets and the registration system. This position regularly works in support of the Registrar and must possess effective and concise written and verbal communication skills with internal staff and volunteers as well as external vendors and registrants.

Essential Duties and Functions: 

  • Work with Registrar as well as Director of Coaching to ensure objectives of league are met, goals determined, executed. 

  • Maintain communication with Registrar regarding registration and league materials.

  • Maintain social media accounts. 

  • Respond to emails and Facebook message requests and questions. 

  • Check and return voicemails.

  • Assist with processing online player registrations, verify birth documents for 900+ players.

  • Email pertinent notices to members (ie - missing registration documents) 

  • Maintain player waitlist. 

  • Assist with processing coach registrations - maintain spreadsheet to monitor progress on mandatory requirements, constant contact with coaches to ensure timely completion

  • Assist with Player/Coach team assignments for 875 players, 175 coaches. 

  • Assist in maintaining the league calendar and ensure deadlines are met 

  • Provide pertinent information to various external vendors when needed (e.g. photographer, uniform coordination, etc.) 

  • Be proactive in problem solving and addressing challenges as they arise. 

  • Effective verbal and written communication with Registrar, registrants and vendors.

  • Additional duties performed as needed. 

Minimum Qualifications: 

One year experience working in an administrative capacity and/or youth support coordination experience. 

Physical & Mental Requirements: 

Work is primarily performed in home/remotely and at soccer fields during the soccer season. Hand-eye coordination and fine motor skills are necessary to operate computers and various types of machinery and equipment. All of the job functions listed above involve, to a greater or lesser degree, the following physical demands: close vision, hearing, bending, kneeling and lifting of up to 20 pounds.
